Organizing Sample Trips

In this Best Practices article, we will go over the recommended way to organize sample itineraries so you can become more efficient in sharing samples and update your sample list as you create more content in Oasis. 


Step 1: Create new lead called "Master Sample Trips" (or any other title you wish to house all your sample trips

This lead will house all your sample trips so you can easily find them and share the sample itineraries with prospective clients. Once the Master Sample Trips lead has been created, you can add future trips you want to use as samples

Step 2: Choose a trip you wish to use as a sample

After you have used the Oasis system for a while, you will find yourself sharing the same itineraries with clients and copying them. Choose the ones you feel are the most compelling and create a list to be able to load to the Master Samples Trip lead

Step 3: Copy the trip you wish to use as sample to Master Sample Trips lead


3.A Open Prompt under the +Add tab under Itinerary - "Copy to Lead"

3.B Once the prompt is open, type "Master Sample Trips" and the lead you created in Step 1 will pop up.

Step 4: Update trip name to take out "copy of.." or change trip name to what you wish

Change the name of the sample lead to reflect your ideal trip name. Note the Lead  this new trip is associated to "Master Sample Trips"

Step 4: Change Trip Status to Sample

You will need to change the trip status to Sample so you can share this trip with prospective clients. This takes out dates and allows you to share with multiple people.

Step 5: Go through Itinerary and ensure it is polished for sample view

Now that you have compiled your list of "Go to" trips, you will need to go through each itinerary and ensure it is up to par. Take out any exact flight times, specific verbiage to a past client. etc. You want to get it ready to be able to send to multiple people without altering it much. 


You can also add any internal notes on pricing, availability, seasonality, etc. in the notes section which is private (NOT the description section)

Step 6: Share Sample by using "Sample View"

Choose the "Sample View" on the top of the trip proposal to send sample itineraries to prospects

Step 7: When you wish to copy the sample trip to a new lead, copy the trip to new Lead

If a prospect is interested in a sample lead, it's time to copy the trip to their lead. Follow steps to copy the trip to your new client's lead and you can begin tailoring the trip to that client's trip including updating dates, accommodations, pricing, extensions, etc.

Step 8: Reevaluate and Repeat

Choose a time frame, say every 3 months, to see if the list of samples is current and any new trips you feel would be good samples.
