Filtering Client Payments


To begin, navigate to the Financials tab on the left menu and select Client Invoices. You'll find four tabs: Search, Recent, Unpaid, and Refunds. Each tab offers tools to manage different aspects of client payments.


Search Tab


The Search tab is your primary tool for finding invoices. You can filter by various criteria such as status (Paid, Unpaid, Refund, Pending), payment type, assigned agent, payment dates, and payment method. This flexibility makes it easy to locate specific invoices quickly. For instance, if you need to check all unpaid invoices handled by a particular agent, you can filter by the assigned agent and status. The results provide links to the lead, and editable fields for first and last names, status updates, type updates, and payment methods and amounts.



Recent Tab


The Recent tab displays the 50 most recent clients with payments. This is particularly useful for quickly accessing the latest payment activities without needing to perform a detailed search. For example, after a busy booking season, you might want to review the latest 50 payments to ensure all transactions are recorded accurately. This tab includes the same filters and editable fields as the Search tab, allowing you to make any necessary updates directly.



Unpaid Tab


The Unpaid tab helps you quickly access overdue or upcoming payments, with three sub-tabs: All, Next Week, and Next Month. These filters help you prioritize follow-ups based on when payments are due. For instance, the Next Week tab can be used to remind clients about upcoming payments, ensuring timely follow-ups and maintaining healthy cash flow. Like the Search tab, it uses the same search fields but automatically filters by unpaid status.



Refunds Tab


The Refunds tab focuses on managing refund requests, listing any invoices with the Type field set to 'Refund'. This tab is essential for tracking and processing refunds efficiently. For example, if a client cancels their trip, you can use this tab to update the refund status and keep the client informed throughout the process. This tab works similarly to the Unpaid tab, providing a focused view on refunds.
